This policy explains what personal information VibeTron Inc. ("VibeTron", "we", "us") collects through vibetron.com, the client portal and our services, how we use it, who we share it with and the choices you have.

Information we collect

Information you give us:

  • Contact and enquiry details from our forms: your name, email, phone number, company, website and what you tell us about your project, budget and timeline.
  • Account details when you create a client account: name, email, phone, job title and a password (stored only as a secure hash). If you turn on two-factor authentication we store the secret needed to check your codes.
  • Billing details: billing name and address, and limited payment information our payment processors share with us, such as card brand, the last four digits and expiry date, or the name of your bank.
  • Content you share while we work together: messages, support tickets, approvals, files and access to accounts you ask us to manage, such as your Google Business Profile or social media pages.
  • Job applications: your résumé, links to your portfolio or LinkedIn profile and anything you write in your application.
  • Newsletter sign-ups: your email address and where you signed up.

Information collected automatically: your IP address, browser and device type, the pages you visit, the page that referred you, and campaign tags in the link you followed (for example utm_source). We use this to run and secure the site and to understand which marketing brought you to us.

Information from others: payment status from Stripe and PayPal, and data from platforms you connect for us to manage, limited to what we need to provide the service.

How we use it

  • To reply to your enquiry and prepare proposals.
  • To provide our services and the client portal, including projects, support tickets and reports.
  • To bill you and process payments, refunds and receipts.
  • To send messages about your account, projects, invoices and security. You can't opt out of these while you have an account, but you can choose which project and ticket updates you get by email in the portal.
  • To send our newsletter, only if you subscribed. Every newsletter has a one-click unsubscribe link.
  • To consider your job application.
  • To protect the site and our clients from spam, fraud and abuse, for example with rate limits and automated checks on our forms.
  • To improve our website and services, and to meet our legal, tax and accounting obligations.

Cookies and similar technologies

We use a small number of cookies that the site needs to work:

  • Sign-in cookies that keep you signed in to the client portal. They are marked httpOnly and secure, so scripts on the page can't read them.
  • Security cookies set by our providers to tell people from bots on our forms.

We also keep a note in your browser's session storage of the page you first landed on, the referring site and any campaign tags, so that if you send us a request we know which campaign brought you. It is deleted when you close the tab.

We don't use advertising cookies on this site. If we add analytics or advertising tools, we'll update this policy first and ask for your consent where the law requires it. You can block or delete cookies in your browser settings, but you won't be able to sign in to the portal without them.

Who we share it with

We share personal information only with service providers that help us run our business, under contracts that limit how they can use it:

  • Stripe, to process card, Apple Pay, Google Pay and ACH bank payments.
  • PayPal, to process PayPal payments.
  • Our email delivery provider, to send account emails, receipts and newsletters.
  • Our hosting, database and file storage providers, which store the site, the portal and your files.
  • Cloudflare, for security and protection against bots and attacks.
  • Platforms we manage on your behalf, such as Google, Meta or LinkedIn, when the work requires it.

We may also share information with professional advisers, when the law requires it, to protect our rights or the safety of others, or as part of a merger or sale of the business, in which case this policy continues to apply.

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

Your California privacy rights

If you live in California, the California Consumer Privacy Act (as amended by the California Privacy Rights Act) gives you the right to:

  • Know what personal information we have collected about you, where it came from, why we use it and who we share it with, and get a copy of it.
  • Ask us to delete it, subject to exceptions such as records we must keep for tax purposes.
  • Ask us to correct information that is wrong.
  • Opt out of the sale or sharing of your information. We don't sell or share it, so there is nothing to opt out of.
  • Limit the use of sensitive personal information. We only use it, for example your account password, for the purposes the law allows.
  • Not be treated differently for using any of these rights.

How to use your rights: if you have a client account, sign in and go to your account settings, where you can download a copy of your data and request deletion of your account. Anyone can also email support@vibetron.com or call +1 (310) 402 2252.

We'll confirm your identity before acting on a request, usually by email, and reply within 45 days. You can use an authorized agent; we'll ask for proof that they can act for you.

In the last 12 months we collected these categories of personal information for the purposes described above: identifiers (such as name, email and IP address), customer records (such as billing details), commercial information (such as plans and invoices), internet activity (such as pages visited) and professional or employment information (from job applications).

How long we keep it

We keep personal information for as long as we need it for the purposes in this policy. Account and project information is kept while you are a client and deleted or anonymized when you ask us to delete your account. Invoices and payment records are kept for as long as tax and accounting laws require. Enquiries that didn't become projects and job applications are kept so we can follow up, and you can ask us to delete them at any time.

How we protect it

Everything is sent over encrypted connections, passwords are stored as secure hashes, two-factor authentication is available for every account and our staff can only see what their role needs. No system is perfectly secure, so please use a strong, unique password and tell us straight away if you think your account has been accessed by someone else.

Children and international visitors

Our site and services are for businesses and adults. They aren't directed at children under 16, and we don't knowingly collect their information. If you think a child has given us personal information, contact us and we'll delete it.

We are based in the United States and store information here. If you use our site from another country, your information will be transferred to and processed in the United States.

Changes to this policy

We'll update this page when our practices change and change the "last updated" date at the top. If a change is significant, we'll tell clients by email or in the portal before it takes effect.
